Events Committee Meeting Minutes, 4/30/24

Chair and Host: Michelle Miller
Minutes: Doreen Miller
Also in attendance: Lydia Alvita, Katrina Martin, Heidi Moesinger, Celina Warot

Clean-up Debrief

  • Approximate number of people at each location
    • Patten’s Cove: 2
    • Across from the Wildlife Garden: 8-10
    • Savin Hill Park: 30
  • Coordinating all three sites with regards to tools and materials was intense and complex.
  • Should Patten’s Cove have its own date to encourage greater turnout? Perhaps it could be included in the Surfrider sponsored Beach cleanup as it is DCR property.
  • In the future, we should reach out to neighborhood schools like Cristo Rey, BC High, and even UMass Boston students to help out in this event as part of their community service obligations.
  • Sustainability Lab as UMass Boston may be interested in clean-ups as well.

Beautification Committee Plant Sale, Saturday, May 18, at Cristo Rey

  • The Events Committee will support this event by:
    • Bringing tables
    • Taking a shift at the location.
    • Donating baked goods
    • Helping find items for raffles. Possible donors include:
      • Philips Candy House
      • Body and Fuel
      • Dot Brewery
      • The Daily
    • Helping to post flyers on social media sites and around the area.
    • Doreen will ask Konditor Meister for a donation of small pastries.

Dorchester Day Parade

  • We agree our presence should be simplified.
  • Michelle will coordinate with Mike on the next steps.
  • Jake has offered the use of his convertible that seats 4. We should get a commitment of people who will ride.
  • We should create a budget for materials, candy, etc.

Surfrider Beach Clean-Up, Sunday, June 9 (Katrina)

  • The DCR permits have been secured.
  • The volunteer sign-up page is active on the Surfrider website.
  • The map of the area needs to be reduced in size.
  • Liaison Ross Cochran has been contacted to invite Mayor Wu. We are waiting to hear back.
  • Michelle Miller will create a QR code for this event and send it to Katrina to include on posters.
  • Advertising of this event will be multipronged. Any posters placed around the area need to be taken down after the event.
    • Local papers
    • Social media sites and CSHCA website
    • Notice and invitation to local and state representatives
    • Posting around the neighborhood
    • A “save-the-date” flyer at the May Plant sale
    • Announcement at the CSHCA general meeting in June
  • Printing the flyers
    • Surfrider is willing to pay to print the flyers.
    • Since Urban Harbor Institute at UMB is involved, see if Quinn Graphics at UMass Boston will donate the printing. Kahim Wade is the director there. Contact information was shared.
  • Surfrider sets up a tent and supplies basic tools. Bring your own equipment like gloves and trash pickers if you have any.
  • They hope to display a large map for easy reference.
  • Surfrider plans to separate out returnables from regular plastic trash.
  • There is generally a lot of trash near the roadways and behind the Vietnam Memorial.
  • The Events Committee can supply a large jug of water for people to fill their containers.

Community Picnic at the Beach, September 14, 1 PM – 4 PM

  • Our application for a Save the Harbor Save the Bay grant to cover costs was denied.
  • Alix will help with any permitting.
  • We need to reach out to sponsors to cover costs.
    • Last year we had three sponsors who donated $500 each.
    • We should look for more this year to cover all the costs.
    • Perhaps we can approach UMass Boston and our representatives to be sponsors.
    • Southline paid for the food vendor and the portapotties last year. We can ask again this year.
      • People agree we need a better food vendor.
      • Would food trucks be willing to come at a discount? Would the city be willing to cover the cost of a food truck?
      • Members should research food options.
  • Heidi will help find musicians – two groups should be enough.
    • SandMachine as the first group
    • The Savin Hillbillies as the headliner
  • Lydia submitted a request to the Boston Police for their Operation Hoodsie to supply ice cream.
  • Ideas for Beach Activities include:
    • Kayaks
    • Kite flying
    • Volleyball
    • Scavenger Hunts
    • Lawn games
    • A table set up by the Aquarium
  • Raffles
    • Get Marta and Des involved in getting donations for raffles.
    • Doreen will ask James Hobin to donate a framed print.
  • To be determined: Acquisition of a canopy and where to set things up.

Fall Art in the Park with James Hobin – Doreen will reach out to James to set a date, work out details, and talk about a budget for needed supplies and an honorarium.

Neighborhood Yard Sale, Saturday, Sept. 7

  • Heidi organizes this.
  • Members can help to hang flyers around the neighborhood.
  • The Events committee will set up a table in the park with CSHCA information and a water jug.

Halloween Parade in October – The Beautification Committee will set up a table to sell their fall bulbs.

To Be Discussed at the Next Meeting, May 28

  • Business Open House – perhaps Mike Keamy has connections to businesses along Dorchester Avenue to solicit participation.
  • The Mural at Ryan’s Playground
  • The Annual Events Committee Budget for membership approval
    • We should dedicate a good amount to printing costs for our various events.
    • Is there a good local printer who would be willing to print flyers at a discount?
