Art in the Park
- Sunday, June 29, 2-4 PM at Savin Hill Park on Grampian Way.
- There will be five stations with:
- James Hobin
- Janet Lynch
- Bianka Banki and Haley Boss from Dot Art
- Katy Farrar Sullivan from The Boys’ and Girls’ Club
- Annissa Essaibi-George from The Stitch House
- Set up will be at 1 PM.
- Doreen and Heidi are picking up 48 chairs and three tables from Cristo Rey on Friday. They will also provide
- A long table of their own and a small square children’s table
- Paper cups for water
- Cleaning supplies – water wipes for cleaning hands, cleaning wipes, spray cleaner, and paper towels
- Alix will provide
- One long table and a smaller one
- A water jug
- The CSHCA banner
- The QR code signage for donations and new memberships – Venmo payments still go through Des Rohan.
- Doreen will email Des to have him send out a reminder via Constant Contact for this event as well as the upcoming summer events.
- It was suggested we raffle off artwork from James Hobin, another local artist, or even whatever communal artwork was created at the event. Given we will be short staffed for the event, perhaps this is something we can consider for a future event.
- Patty’s Pantry offered to supply pizza for the event, but we feel it is not such a good idea to mix paints and art supplies with food as it could get too messy. Alix will let them know.
Historic Walking Tour, July 12, 10 AM – 12 PM
- Earl Taylor of the Dorchester Historical Society will lead a walking tour starting at the Blake House and exploring the surrounding area.
- He has asked people to pre-register. Alix will create a form for registration to use on the calendar and in the Constant Contact mass mailing.
- Alix will ask Patty’s Pantry if they would be willing to donate pizza to the tour group instead of the Art in the Park Event.
- Alix will begin to work on the brochure for the tour in Canva.
- Perhaps we can create a map with numbered stops and then put a small blurb about each stop on the back for participants to reference.
The Sponsorship Letter
- Alix has compiled a list of about 115 businesses in our area.
- Not all have emails or contact information.
- This list includes brick and mortar establishments but not service providers.
- Michelle Miller and Michael Keamy both have business lists that Alix can crosscheck with hers.
- Alix will share the business list with committee members.
- Perhaps we could use Chat GPT to create a more comprehensive list with contact information.
- We can personalize the letter to businesses that have sponsored events in the past while sending out the generic letter to all other businesses.
- The sponsorship letter could be sent out July 1st with a reminder and follow-up on August 1st.
- Carolyn, who has a background in fundraising, suggested a type of matching sponsorship. The problem is we are not a 501C3 but a 501C4, which many organizations are reluctant to donate to.
- Alix will share the letter with Carolyn for her feedback.
Community Picnic, August 23
Food Truck Options
- We reviewed the food truck options and have agreed on
- Sarcastic Sweets as our first option, but Michelle Miller will first contact the owner for more information and a clearer understanding of their menu options.
- If the first option does not work, we agreed to go with Los Reyes.
- A final decision will be made once we hear back from Sarcastic Sweets.
The Portapotty for the Picnic
- Senator Nick Collins has agreed to sponsor the cost of the portapotty.
- Simple ones are not too pricey, but we should definitely consider including a hand-washing option, which adds to the cost.
- Alix Giannetti will ask Catherine O’Neil which company they used in the past, so we can get a firm price to Senator Collins.
Activities
- The face painter is available, but the balloon sisters are not.
- Drew got back to Michelle about the obstacle course, but he may be away on vacation that weekend. He will let her know. If he is not available, Michelle will ask him if he has any other contact who would be willing to set something like this up.
Insurance Options
- Vargas and Vargas quoted $350 for $1million/$2million coverage for occurrence/aggregate.
- Markel Insurance, owned by Geiko and Travelers, quoted $263 for $1 million/$1 million coverage.
- Event Helper quoted $177 for $1million/$2million coverage.
- Alix will check into the minimum required by DCR and let Michelle know.
Music
- Sandmachine has agreed to perform. They
- Will headline the event
- Will supply the backline
- Have some friends wiling to play the open mic session
- Are happy there is a rain location.
- A second band has not yet been determined. It would be nice to have someone local.
Other Business
Carolyn offered to explore the use of a local photography club that would attend future events and take pictures for free.
