Events Committee Meeting Minutes, 6/6/23

June 10th Shores Clean-up (Katrina Martin)

  • Sponsored by Surfrider and UMB Urban Harbors Institute
  • Saturday, June 10, from 10 AM – 1 PM
  • 35 posters have been printed and posted around the neighborhood.
  • Meet at the Malibu Parking Lot off Morrissey Boulevard, where various tools and materials will be provided.
  • 30+ have signed up so far, and good weather is forecast.
  • Mayor Wu and Bryan Arrigo (the new DCR Commissioner) have been invited.
  • There will be a short talk about ocean debris at the start.

Top o’ the Hill Happy Hour

  • To take place in the evenings. People can bring their picnic dinners and listen to music.
  • Proposed Dates: Wednesday, June 28; Thursday, July 27; Tuesday, August 29
  • It was suggested a notebook be passed around for people to write down things they wish to share: news, updates, poetry, gratitude, etc. This would be later read and shared with the people present.
  • Alix will reach out to Bill Walczak with a cc to Heidi to see if the Savin Hillbillies are interested in playing on any of those dates.
  • Doreen has long extension cords to run from Bill’s house if amplification is needed.

 A Historic Walking Tour

  • We agreed that a fall date in late September would be better to avoid the heat of the summer.
  • We think some of the huge Victorians along Pleasant Street and some of the side streets there might be of interest. There is the old Filene’s Mansion on Pleasant Street. We could start or end at the old Blake House in Edward Everett Square with perhaps a tour of the house.
  • Heidi will follow up with Earl Taylor to make arrangements.

T-Shirts

  • We thought it would be best and easiest just to place a bulk order.
  • We would give free T’s out to committee members and sell the rest to the public as a fund-raiser.
  • Heidi will draft (and share with us) a T-shirt design to present to the CSHCA E-board by June 13 for approval.
  • Alix wouldn’t mind paying out of pocket up front and getting reimbursed later as shirts are sold.
  • We thought the two colors offered could be white and light blue, both with black print.

August Community Picnic

  • We agreed to move the date to Saturday, August 19, to enjoy the high tide during the picnic.  Alix will complete the application form for use of the park.
  • It will be from noon to 5 PM with music from 12:30 – 4:30 PM. We estimate between 100-125 people and ten volunteers.
  • The orchestra could perhaps start the event off. Questions include:
    • How many musicians are there? How many chairs do we need? From whom can we borrow them? Can we get (picnic) tables for the older folks?
    • UMB has an Events Department. Perhaps they would be willing to lend us chairs and tables.
  • Maeve is working on food costs from various vendors.
  • We estimate the budget will run between $7,000 – 10,000 for the event. This pays for food, permits, musicians, the generator, a tent for the musicians, banner, and other costs.
  • Alix suggested we look into creating a banner that lists our sponsors and their logos.
    • Elizabeth Doyle may have a contact for pricing as she had the CSHCA banner created.
    • We could have a separate “CSHCA Community Picnic” Banner made. If Southline wants to commit to sponsoring this event every year, we could include their name on this banner as well.
    • Heidi will ask Quinn Graphics at UMB if they are willing to donate a banner. We need to know the size.
  • Last year Sand Machine provided the sound system. Heidi will reach out to them to see if they are available to play on August 19.
  • Alix will draft a budget and share it with everyone for input. She needs to present a budget to Southline by the end of this week. She will ask if they might be willing to sponsor the whole event.
  • If Southline does not want to sponsor the whole event, we need to draft a letter template to present to local businesses to request funding. They could choose what they want to sponsor. For example, X amount of dollars will sponsor a band, ice-cream, food, banner costs, etc.
  • DCR also sponsors events. The new commissioner Bryan Arrigo might be amenable to having DCR sponsor this public event. Alix will reach out to him.

Neighborhood Yard Sale – This is planned for Saturday, September 9, with a rain date of Saturday, September 16.

 Action Items

  • Alix will
    • Reach out to Bill Walczak with a cc to Heidi to see if the Savin Hillbillies are interested in playing for any of the Top o’ the Hill Happy Hour dates.
    • Complete the application form for use of the park for the Community Picnic and will draft and share with us a budget for the picnic before the end of the week, which she will present to Southline.
    • Ask Southline if they are willing to sponsor the entire event.
  • Heidi will
    • Follow up with Earl Taylor to make arrangements for the Historic Walking Tour.
    • Draft (and share with us) a T-shirt design to present to the CSHCA E-board by June 13 for approval.
    • Inquire at UMB Quinn Graphics about donating a banner for the Community Picnic.
    • Reach out to Sand Machine for August 19 availability.
    • Inquire at the UMB events department about borrowing chairs and tables if none are available from Southline.
