Events Committee Meeting Minutes, 9/26/23

Events Committee Business Card

  • Heidi shared the prototype of a business card for our committee that includes the chairs, webpage and QR code on the back that takes you to the Events webpage.
  • To print from Canva, it costs $22 for 100 cards. We can split the cost out of pocket.
  • We can distribute them to people we meet who seem interested in our committee.
  • We can put some on tables at events for people to take.

9/30 Walking Tour, 10 AM, meet at Christo Rey

  • Doreen will make sure the portable PA system is charged and will bring it with her on Saturday. Someone can volunteer to wear the speaker component and stay at the rear of the group.
  • We plan on arriving at Cristo Rey at 9:50 to test out the PA system and be ready for the tour.
  • Heidi will take pictures.
  • Dorchester Historical Society (DHS) will
    • Be responsible for the parking passes.
    • Lead the tour.
  • Is anyone tech savvy to do a livestream of the event on Facebook or YouTube?
    • A few people on Facebook who can’t make it have requested this possibility.
    • If so, we will need to clear livestreaming with Earl Taylor, DHS President and tour guide.

Music in the Park, 10/15, 1 PM – 4 PM

  • Heidi
    • Has procured all the refreshments, napkins, and plates for the event. We will need two large jugs for hot and cold water, a few tables (Heidi and Doreen have one) for food, pamphlets, and the CSHCA banner.
    • Will call Pantry Pizza in October and request a donation of 10 pizzas for the musicians.
    • Is still waiting on the permit. She will follow up this Thursday.
  • Electricity
    • Maureen Marotta has agreed to provide electricity.
    • Briege’s outdoor outlet is not working but she hopes to have it fixed. If it isn’t, then we only have the one source to use.
  • Performers
    • The Carneys’ are not available on the 15th.
    • Me/2 Orchestra is onboard to play at the beginning. Heidi would like to see them perform second, if possible, as not many people actually arrive at 1 PM. Do we need chairs for the orchestra?
    • Alix is still waiting to hear back from Anjele. If she is unable to perform, perhaps Bill Walczak knows someone, or Heidi can ask a musician friend.
    • We nixed the idea of putting a call out for talent on social media.
    • The headliner will be the Savin Hillbillies.
    • Performers should arrive at noon to set up and do a sound check.

Kids’ Halloween Parade, 10/28, 3:45 PM

  • Michelle Carmell of the mother’s group will be at the 10/2 General Meeting to request a donation from CSHCA.

Thank You Notes and Decals – to be printed and sent out in December.

  • Heidi shared her draft for the 2023 Proud Sponsor decal. We should buy just enough to cover all sponsors this past year.
  • Doreen will resend her shared Google Doc draft of the sponsor thank you letter for input and possible edits.
  • Alix will check into printing the decals and thank you letter on letterhead.

T-Shirts Order Form

  • The photo shoot modeling the T-shirts is complete with pictures residing in a Google Folder to choose from when posting the order form on the CSHCA website.
  • Alix will work on the order form this week.

Next CSHCA Events Committee Meeting: Tuesday, October 31 (Halloween!), 7 PM – Should we consider moving it to Wednesday, November 1?
