Events Committee Meeting Minutes, 10/24/23

Business Cards

  • To the prototype
    • We added a QR code on the back to our Instagram account.
    • We changed “About” to “Web.”
    • Added “Follow Us: @events_columbiasavinhillcivic”
  • Heidi can order directly from Canva. It costs about $22 for 100 cards. We need to determine how many cards to order.
  • Before Heidi creates an order, Alix will connect with IT Manager Taufiq about how to log into and access the email account.

Christmas Caroling

  • Alix will get in touch with Ross Cochran, city liaison, about coordinating with the city’s plans for the Christmas Tree Lighting at Ryan Playground.
  • Last year it was the Saturday after Thanksgiving, which is a bit early and when many people are away.
  • We decided we can still support the tree lighting as we did last year with goodie bags, etc. but will still have our own separate caroling event closer to Christmas.
    • We would like to plan a stationary caroling event in front of Christo Rey High School with permission from President Rosemary Powers.
      • Date and Time: Tuesday, 12/12, 5:30-7 PM
      • Rain date: Wednesday, 12/13, 5:30- 7 PM
    • The song books will need to be updated and edited. After thought, is it possible to put the song book online with a QR code for people to access?

CSHCA Happy Hour at Boston Bowl (Alix)

  • We will propose this event at the next E-Board and General membership meetings.
  • Alix will speak with Boston Bowl about hosting this at a discounted rate.
  • Paid members as well as police affiliates and reps will be invited to join the event. People will need to RSVP so we can get numbers to reserve bowling lanes.
  • CSHCA will be asked to finance this.
  • We think a date in January would be a good way to start off the new year with an indoor social event.

Halloween Kids’ Parade

  • Saturday, October 28, 3:45 PM, kids and parents will meet at McConnell Park and walk down to Savin Hill Park.
  • Michelle can get the T-shirts, CSHCA banner, and table to Maeve before Saturday.
  • Heidi has snacks, candy, and informational flyers to put out.
  • We will set up the table near the B-Ball courts at 3:45 PM. Heidi will confirm with the mothers’ group that we are setting up a table.
  • Alix will get us the QR code print out for people who want to pay for T-shirts via Venmo.
  • Heidi, Maeve, Doreen, and possibly Alix can man the table.

CSHCA T-Shirts

  • Heidi can create an order form on the website, but it does not generate an excel spreadsheet.
  • Customers will pay for their T-shirts upon receipt.
  • Information from the order forms should go to the events email account, but Alix needs to work with Taufiq on how to access the email account.
  • We need to order more XL sizes, and more blue T’s, the more popular color.
  • There are about 40 T’s left.
  • Heidi should pick any photo from the T-modeling shoot to put up on the website along with the order form.
  • We have raised $390 so far.

Action Items

  • Alix will
    • Email Taufiq on how to access the Events email account.
    • Connect with Ross Cochran on the City Tree Lighting plans.
    • Get an estimate for bowling lane rentals for the January event.
    • Get a Venmo QR code to use for the T-shirt sales at the Halloween event.
  • Heidi will
    • Confirm with the Mothers’ group that we are setting up a table this Saturday.
    • Create an online order form and post an appropriate picture of the T-shirts (once the events email is working and accessible).
    • Bring snacks, candy, and informational flyers for the table at the Halloween event.
    • Order the business cards once the events email is working and accessible.
  • Michelle will get the table, CSHCA banner, and T-shirts to Maeve before Saturday.
  • Doreen will help set up and man the table at the Halloween event.
  • Maeve will set up and man the table at the Halloween event.
