Merchant Membership Drive

  • We reviewed the postcard design. It’s ready and OK to print ahead of time. Funding for this has already been approved.
  • The merchant list needs updating.
    • The current shared Google doc with 2021 listed is the most recent data received from Mike Keamy of Dorchester Avenue Vision Committee. Information with other dates listed needs to be verified.  Contact information missing for some.
    • Outreach & Engagement Committee (OEC) chair Marc Antoine had mentioned wanting to reach out via an e-mail to the general membership to see if anyone had any connections to local business owners.
    • Doreen will email city liaison George Hyunh and Julie Ryan from Councilor Baker’s office to see if there is a city resource (perhaps the Office of Business Development?) that has an up-to-date list of local businesses, their owners/managers, and contact information.
  • Once the merchant list has been updated, the plan for distribution is
    • Divide the list among various members to fill out the postcards.
    • Mail out the postcards, and then
    • Have someone follow up with a phone call or even in person.

Review of the CSHCA Website

  • The “Sponsors and Merchant Members” page is currently under the “About” tab.
  • We agreed it should have its own tab between “Membership” and “News.” Heidi will update the site.
  • Once we have a substantial number of paid merchant members, it should have a separate page from the sponsors list.
  • Heidi created a “Donate” button, but it needs its own separate form. Right now, it takes one to one basic Membership and Donation form.
  • The membership forms need to be updated. There should be separate online forms, each with a pdf printable form for
    • Individual members
    • Merchant members
    • Donations
  • Heidi will reach out to Des Rohan to see where the current form lives. She will reach out to and work with IT Manager Taufiq to get this done.
  • Heidi would like to add a photo page to the website. She will work with Taufiq in determining how best this is accomplished.

Thank You letters to Sponsors and Donors

  • Is there a basic template we can use to send out thank-you’s to sponsors and donors? Heidi will see if Des has one.
  • We agreed that the chairs of a committee with a relationship to specific sponsors/donors should send out the thank you’s.
  • Once a Thank-you template has been created, it will be shared with all chairs.
  • Elizabeth would like to have CSHCA letterhead to use for communications. Does it already exist?

Upcoming Yard Sale, September 10

  • E-Board members who are taking part in the yard sale should have a CSHCA donation box or Venmo sign for people to donate.
  • Selling bulbs in September (as we has originally planned with the Books and Bulbs table) is too early as the bulbs might not be stored properly for later planting.  We agreed a bulb table will be set up at the Rocktober Music fest.
